Crew Certification Tracking

E-CMS automates the complex task of tracking every certificate, endorsement, and license that seafarers are required to hold under STCW 2010, MLC 2006, and flag-state regulations.

Certificate Categories

The system manages Certificates of Competency (CoC), medical certificates (ENG1, ML5), STCW mandatory training certificates (BST, AFF, MEFA, MC, GMDSS), tanker endorsements (BTO, BCT, BTG), specialized certificates (ECDIS, DP, Security Awareness), and national documentation (OEC, PDOS). Each certificate type has configurable validity rules and flag-state requirements.

Expiry Tracking & Alerts

The system continuously monitors certificate expiry dates and generates alerts at configurable intervals -- typically 60, 30, and 14 days before expiration. Dashboard widgets highlight crew members with expiring or expired documents, and automated notifications ensure nothing falls through the cracks.

Pre-Joining Compliance Checks

Before any seafarer can be confirmed for a vessel assignment, E-CMS runs an automated compliance check that verifies all required certificates are valid for the duration of the planned contract. Missing or expired certificates are flagged immediately, preventing non-compliant deployments.

Document Management

Scanned copies of all certificates can be uploaded directly to each seafarer's profile. Shared folders enable controlled document exchange between crewing offices, vessels, and external auditors. The system maintains a full audit trail of certificate additions, updates, and verifications.
